Managing your company

The Companyarea brings your firm's people, client teams, workspace details, and access controls together. Open it from the app sidebar to review the workspace or make administrative changes.

The summary at the top shows active members, invitations awaiting acceptance, and the workspace status. Use the tabs below it to move between people, teams, company details, activity, and ownership.

Who can manage the company

Every member has one company role. The available controls depend on that role:

  • Owner — full company access, including appointing admins, transferring ownership, and leaving after choosing a successor.
  • Admin — manages members, invitations, client teams, company details, and shared company resources.
  • Adviser — works with clients in their assigned teams and can create and update client work.
  • Support — accesses the workspace and assigned teams with restricted client-book editing permissions.

People and invitations

Open People to search active members, review their join date, change a role, or revoke workspace access. The Owner is markedProtected Owner and cannot be removed or edited from the member list. Admins also cannot change or remove another admin.

To add a colleague, enter their work email under Invitations, choose a role, and select a client team for an Adviser or Support member. Admins receive access to all teams, so no team selection is required. Select Invite, then send the generated link to the colleague if needed.

Pending invitations show their role and expiry date. You can resend an invitation to issue its link again or revoke it so the current link stops working immediately.

Client teams

Open Teams to control which Advisers and Support members can see each group of clients. Team access covers the client record and its meetings, tasks, documents, forms, and signature workflows. Owners and Admins automatically have access to every team.

Enter a clear name such as Birmingham Wealth Planning and select Create team. Use the member checkboxes to add or remove operational members. You can rename a team at any time.

A team can only be archived when it has no assigned clients. If archiving is blocked, TakeNote lists the affected clients; reassign them to another team before trying again.

Company details

Open Details to update the company name and registered address shown to the team. Review the name, address lines, city, county, and postcode, then select Save details. Changes apply to the shared company workspace.

Activity record

Open Activity to view the immutable record of sensitive company changes. Each entry identifies the person who performed the action, the change made, the affected person or resource when applicable, and the date and time.

Use the activity filter to narrow the list to a particular event type. The record cannot be edited or cleared from the Company page.

Ownership and leaving

Open Ownership & access for ownership and departure controls. These actions take effect immediately and require a confirmation step.

The Owner can select an active member as a successor and transfer ownership. The successor becomes Owner and the previous Owner becomes an Admin. The Owner can instead transfer ownership and leave in one operation, ensuring the workspace is never left without an owner.

Other members can select Leave company to revoke their own access immediately. Leaving signs the member out of the workspace; an administrator must send a new invitation if they need access again.
