Recording a Teams meeting
TakeNote records a Microsoft Teams meeting from the Record Meeting screen in your browser. You keep Teams open as normal and TakeNote captures the meeting audio through your device, so you do not add a bot or a second participant to the call. The recording runs alongside the meeting and stops when you end it.
This method works for any Teams call you join from your computer, whether you host it or attend it. Because the capture happens on your machine, the client sees only the people who are actually in the meeting.
How it works
Open Record Meeting and set the meeting type to Phone call, which covers a voice call, speakerphone, or video bridge such as Teams. TakeNote records through your device so the Teams audio and your microphone are captured together, with a live audio level confirming the meeting is being recorded.
While recording, you assign the session to a client so the finished transcript files against the right person. If you do not assign a client during the meeting, the recording stays available for you to assign afterwards rather than being lost.
When you stop the recording, TakeNote uploads the audio and begins transcription. The transcript, its extracted tasks, and the document-generation options then appear on the client record.
Starting a recording
The Record Meeting screen lets you pick the meeting type: In-person meeting for a conversation in the room, or Phone call for a voice call, speakerphone, or video bridge. Choose Phone call for a Teams meeting. You can also set the expected number of speakers, or leave it on Auto.
Before you start, confirm you have consent to record and select the client the meeting belongs to. Start recording begins the capture and the screen switches to the in-progress view.

During the meeting
Once recording starts, TakeNote shows the elapsed time and a live audio level so you can confirm the meeting is being captured. You continue the Teams call as normal in its own tab or window; nothing is added to the call and other participants are not notified by TakeNote.
You can pause and resume if the conversation breaks off, and the client assignment stays attached to the session throughout. When the meeting finishes, stop the recording to send it for transcription.

After the meeting
The finished meeting appears at the top of the client's Meetings timeline on their record. Each entry shows the meeting title, date, and status as TakeNote finishes transcribing.
Opening the meeting gives you the full transcript, the tasks TakeNote extracted from the conversation, and the options to generate a Review Letter, an FCA COBS 9 Suitability Report, or a Strategy Letter from what was discussed. Everything stays filed against the client, so the record holds the recording, transcript, tasks, and any documents together.
